Zoho Invoice alternative

Backbone vs. Zoho Invoice: focused and paid, or free inside an ecosystem?

Zoho Invoice is completely free — Zoho can afford that because it is the entry point into an ecosystem of 50+ apps (Zoho Books, CRM, …). The tool itself is solid: a template gallery with unusually deep customization, recurring invoices and automatic payment reminders, all free.

Two limits matter. First: in Zoho Invoice the Zia assistant gives you insights and drafts text — creating an invoice from a prompt requires the paid Zoho Books. Second: per Zoho, Zoho Invoice bills only in your own base currency, which is a hard limit for cross-border work.

When German and Austrian freelancers pick Backbone over Zoho Invoice

Free-plus-ecosystem works if you want the ecosystem. If you just want to write professional invoices and get paid, the focused path with Backbone (formerly Billy) is faster.

  • Draft an invoice from one sentence, with a mandatory-detail check under §14 UStG / §11 UStG and notes under §19 and §13b — in Zoho prompt-created invoices need paid Books
  • Invoices in EUR, USD, GBP or CHF — Zoho Invoice bills in your base currency only
  • Dunning with statutory interest and the €40 flat fee where the law allows, with 1st and 2nd notices in your own wording
  • Austria: §11 UStG mandatory-detail check (ebInterface coming soon) — Zoho has no Austrian edition
  • One product, three plans with the same platform (€19/29/49) — no upsell path into an app suite

Backbone in detail

When Zoho Invoice is the better choice

To be fair: Zoho Invoice is remarkably complete for a free tool, and if you already use Zoho CRM or Books, staying in the ecosystem makes sense. For generic international invoices without DACH requirements, it is a legitimate choice — and if you do not want to pay anything, Backbone has no free plan.

Frequently asked questions

Is Zoho Invoice really free?
Yes — Zoho Invoice is permanently free (as of July 2026), capped at 500 invoices a year and 2 users. Zoho funds it through its ecosystem: when you need more — accounting, prompt-created invoices or foreign currencies — you land on paid products like Zoho Books.
Does Zoho Invoice work for German invoices?
Partly. Zoho's German edition supports the reverse-charge procedure, EU OSS and German tax rates. What is not documented: §14 UStG mandatory invoice fields, small-business wording and GoBD — and there is no Austrian edition at all. Backbone checks the mandatory details under §14 UStG and §11 UStG while you write and adds the small-business and reverse-charge notes.
What is the main difference between Backbone and Zoho Invoice?
Zoho Invoice is a free invoicing tool whose Zia assistant provides insights and drafts text; creating an invoice from a prompt requires paid Zoho Books. Backbone has the AI assistant built in from the start — plus a mandatory-detail check for Germany and Austria and invoices in EUR, USD, GBP and CHF, which Zoho Invoice does not support. In return, Backbone is paid and not built for a US-based business.
Can I try Backbone for free?
Yes — a 7-day trial with a card on file at Stripe, €0.00 due today. Cancel monthly, no minimum term. There is no permanently free plan.
